A Workflow is a defined set of Processes and States that a Lead can travel through to take it from creation to a predetermined outcome
Let's start by creating the Workflow.
1. Click on Settings

2. Click on Campaign Management

3. Click on Workflows

4. Click on Add

5. Provide a name for this Workflow

6. Provide a description for this Workflow

7. Click on "Save" to save the Workflow

8. Next we can start adding Processes to our Workflow. Click on "Add Process".

9. Provide a name for the Process

10. Assign a value for the order of this Process in the Workflow

11. Provide a description for this Process

12. Click on "Save" to save the Process

13. Next we can add States to the Process. Click on "Add State"
A process state indicates in which state the process is. Examples are: New, Sale, Cancelled. It could also be call states such as Callback, No Answer, Do Not Call.

14. We will create a "New" state that will be the initial state when a lead enters this process

15. We will check the "Initial" flag on this State, indicating that it is an initial state

16. Click the green "Save" button

17. Let's add another state. Click on "Add State".

18. This is an "In Progress" state, indicating that the lead is staying in this state for the time being.

19. We will set the "Update Allowed" flag on this state so that we can update to this state from the Lead.

20. Click the green "Save" button

21. Let's add a last state to this process

22. We'll name it "Complete", indicating that this is the final state in this Process and we can use this state to move the lead to the next Process.

23. We will set the "Final" flag, indicating that this is a final state for this Process

24. We will set the "Update Allowed" flag on this state so that we can update to this state from the Lead.

25. Click the green "Save" button

26. Let's add an action button to this Process. Click on "Add Action".
This will add a button to the lead that can be used to trigger actions such as sending a WhatsApp Template message to the customer, calling a webhook of an external platform, etc.

27. Give the Action button a name

28. Select the Action Type, in this case we just want to update the Lead State

29. Click on "Save"

30. Click on the "Back" button to go back to the Workflow

31. From here we can add another Process. Click on "Add Process".

32. Provide a name for the Process

33. Assign a value for the order of this Process in the Workflow

34. Provide a description for this Process

35. Click on "Save" to save the Process

36. Next we can add States to the Process. Click on "Add State".

37. We will create a "New" state that will be the initial state when a lead enters this process

38. We will check the "Initial" flag on this State, indicating that it is an initial state

39. Click the green "Save" button

40. Let's add another state. Click on "Add State".

41. This is an "In Progress" state, indicating that the lead is staying in this state for the time being.

42. We will set the "Update Allowed" flag on this state so that we can update to this state from the Lead.

43. Click the green "Save" button

44. Type "Complete"

45. Let's add a last state to this process

46. We'll name it "Complete", indicating that this is the final state in this Process and we can use this state to move the lead to the next Process. We will also set the "Final" flag.

47. Click the green "Save" button

48. Let's add an action button to this Process. Click on "Add Action".

49. We will call the Action button "Create in Jira" and will call a webhook to create a new project in Jira.

50. Select "LeadWebHook" from Action Type

51. Select Jira from the "Template" dropdown
Note: The webhook template is configured in the Admin -> Integrations -> Lead WebHooks menu. Here the endpoint, authentication and JSON payload can be configured.

52. Select the Workflow that the lead must be moved to upon calling the webhook. In this case we select our "Software Development" Workflow

53. Select the Process that the lead must be moved to upon calling the webhook. In this case we select our "Technical Spec" Process

54. Select the State that the lead must be changed to upon calling the webhook. In this case we select our "Complete" State

55. We can also add a confirmation pop-up dialog before completing the action. Click on "Display Confirmation Dialog before execution?".

56. Type the confirmation text you want to display

57. Click on "Save"

58. Click on the "Back" button to go back to the Workflow

59. We can continue adding Processes according to our Workflow
